1. Who We Are

MWM (the "Platform") is a business-to-business wholesale platform operated by JP.Company Co.,Ltd. ("we", "us", "our"), a company incorporated in Japan. This Privacy Policy explains what data we collect when you use the Platform, why we collect it, who we share it with, and what rights you have.

Registered office:

8-13-5 Minami-Koiwa, Edogawa-ku, Tokyo 133-0056, Japan. Questions about this policy can be sent to the contact address in section 13.

This policy covers the buyer-facing Platform at mwm.monoshare.biz. It does not cover other websites we operate, which publish their own policies.

2. Data We Collect

2.1 Data you give us

Account details: company name or your name, contact person, email address, telephone number, billing address, one or more shipping addresses, country, and your preferred language and currency.

Business documents you choose to send us when we verify that you are a trade buyer, such as a business registration or resale certificate.

The content of enquiries, messages, cancellation requests and return requests you send us, including any photographs you attach.

2.2 Data created by your use of the Platform

Transaction records: the offers you submit, the items you win, invoices, payment records, shipping and tracking numbers, returns, cancellations and account credits.

Activity records: sign-in history, items viewed and searched, catalogue and image downloads, and the date and time of those actions.

Technical data: IP address, browser and device type, and language settings.

2.3 Data we do not collect

We never see or store your full card number.

Card payments are handled directly by Stripe on their own systems; we receive only the result of the payment and a masked reference. We do not ask for special categories of data such as health or biometric data, and the Platform is not intended for consumers under 18.

3. How We Collect It

Directly from you, when you register, submit an offer, pay an invoice, or contact us.

From Google, if you choose "Continue with Google" to sign in. In that case Google gives us your email address, name and profile picture. We never receive your Google password.

Automatically, as a record of how the Platform is used, while you are signed in.

4. Why We Use It

To create and administer your account and to verify that you are a trade buyer.

To run the weekly Wave offer process, determine winning offers, issue invoices and collect payment.

To ship your purchases, produce the shipping and customs documents required to export them, and give you tracking information.

To handle cancellations, returns, account credits and after-sales enquiries.

To send you transactional email about waves, offers, invoices, payment reminders and shipments.

To detect and prevent fraud, abuse and non-payment, and to enforce our Terms of Service.

To keep the accounting, tax and export records that Japanese law requires us to keep.

To understand how the Platform is used and improve it, in aggregate form.

5. Legal Basis (buyers in the EEA and the UK)

Performance of a contract —

creating your account, processing your offers, issuing invoices, taking payment, shipping and handling returns.

Legal obligation —

keeping accounting, tax, customs and export records.

Legitimate interests —

preventing fraud and non-payment, keeping the Platform secure, and improving our service. We weigh these interests against your rights and freedoms.

Consent —

where we ask for it, for example optional marketing email. You can withdraw consent at any time without affecting what we did before you withdrew it.

6. Who We Share It With

We do not sell your data and we do not share it with advertising networks.

We share it only with the service providers below, and only as far as they need it to do their part of the job.

We also disclose data where a law, a court, or a tax or customs authority requires it, and to our accountants and lawyers where necessary. If our business is transferred to another company, your data may be transferred with it; we would tell you before that happened.

7. International Transfers

We are based in Japan and the Platform’s main servers are in the Tokyo region. Some of the providers listed in section 6 are outside your country, including in the United States.

Japan has been recognised by the European Commission as providing an adequate level of data protection. Where we transfer personal data out of the EEA or the UK to a country without such recognition, we rely on the recipient’s Standard Contractual Clauses or an equivalent safeguard.

8. How Long We Keep It

Transaction, invoice, payment and shipping records —

seven (7) years from the end of the accounting period, as required by Japanese tax and corporate law.

Account and profile data —

for as long as your account is open, and afterwards for as long as it forms part of a transaction record.

Enquiries and messages —

three (3) years from the last message.

Sign-in and activity records —

one (1) year.

Once these periods have passed and there is no longer a legal reason to keep the data, we delete it or keep it only in a form that no longer identifies you.

9. Cookies and Similar Technologies

The Platform uses only what it needs in order to work:

a sign-in token that keeps you signed in between pages;

browser storage for your language, currency, catalogue filters, and the position you had reached in a list.

We do not use advertising cookies and we do not run third-party analytics on the buyer side of the Platform.

If you block this storage you will be signed out and your display preferences will be reset, but you can still browse the catalogue.

10. Your Rights

You can see and change most of your data yourself under My Page: contact details, shipping addresses, language and currency, password, and the email address you sign in with.

You also have the right to ask us to:

tell you what personal data we hold about you and give you a copy of it;

correct data that is wrong or incomplete;

delete data that we no longer have a legal reason to keep;

restrict or stop certain uses of your data, or object to them;

give you the data you provided in a portable form (EEA and UK buyers);

withdraw your consent, where we relied on consent.

Write to the contact address in section 13 and we will answer within 30 days. We may first ask you to confirm who you are. Under Japanese law we may charge a handling fee of JPY 1,000 per disclosure request.

Closing your account does not erase records we are required to keep

for tax, accounting and customs purposes for the periods set out in section 8.

If you are unhappy with how we handled your request you can complain to a supervisory authority: in Japan, the Personal Information Protection Commission; in the EEA or the UK, the data protection authority of the country you live in.

11. How We Protect It

All traffic between your browser and the Platform is encrypted in transit (TLS).

Passwords are stored only as a one-way hash. We cannot read them, and we will never ask you for your password.

Access to buyer data inside our company is limited to the staff who need it for their work, and administrator accounts require a second factor to sign in.

Changing the email address on an account requires your current password and confirmation from the new address, and we notify the previous address.

12. Changes to This Policy

We may update this Privacy Policy. If a change materially affects how we use your data, we will tell you by email or by a notice on the Platform before it takes effect. The date shown at the top of this page is when it was last revised.
